Summer School Staff Wanted Photos Posted Fast, But One Person Refused To Risk Everything

Sometimes, workplace frustration comes from people treating important rules as unnecessary paperwork. What seems like a simple request can become a much bigger issue when someone is responsible for making sure everything is properly documented.

The original poster (OP) was handling photos from a summer school and needed proof that parents had given permission before the images could be used online. However, the organization repeatedly insisted that parents would not mind and that informal approval was enough.

Despite explaining the risks and asking several times for the required documents, OP continued receiving excuses instead of the paperwork. Read on to see how this frustrating situation was finally resolved.

A professional refuses to release children’s photos until a summer school provides proper parental consent forms

Summer School Staff Wanted Photos Posted Fast, But One Person Refused To Risk Everything
not the actual photo

'No, I won't be going to jail because you think a parental consent form is unnecessary'

In the UK, working with a summer school who want to post pictures of the children who attended onto their website. Communicating via email of course.

Me: "I have the photos, please send us a form confirming that the parents consent to having these photos posted on the internet for marketing purposes only.".

Them: "yes we have the parents consent". Me: "that's great, can you send me a copy of the consent forms".

Them: "oh it's fine, the parents always love seeing their kids on the website doing the activities". Me: "that's great, can I just get a copy of the form".

Them: "the parents always complain if they DON'T see their kids somewhere lol".

Me: "I'm sure they do lol. Can you just send me a copy too as it's a legal requirement". Them: "Oh we don't have copies, but the parents never complain"

Me: "Ok, I can't let you upload these photos without the parents consent. We could all get in a lot of trouble".

Them: "Oh but the parents are always posting pictures of their kids on facebook, instagram or making AI edits"

Me (ignoring my issues with all that): "Well great, but I really can't send you the photos until the parents sign consent forms".

Them: "Our marketing team really need the photos up ASAP so we can advertise for next year's summer school".

aaaaaaarrrrrrrrrggggggggghhhhhhh

Edit: I didn't realise I'd get so many questions as I was mostly just venting. This is a summer school, not a regular school, it's got 2 members of staff.

I'm also not the person who took the photos, I am just liaising for my company with these very helpful people.

Update: they had the parental consent forms and no-one is going to jail. I didn't realise so many people would be interested in my vent from Monday.

Thank you for your comments.

Just to let you know, as of 9.30 this morning, I got an email from the summer school with an attached letter officially stating they have parental consent.

I sent over the photos and then deleted them on my end so I never have to think about this game of email tennis again.

I guess I could do a second vent about how annoying it is that they didn't do this a month ago but let's be honest: I'm just glad it's done.

I was emailing one person in the two-person company. She's marketing and wanted the photos. The other person had the consent forms.

She didn't realise they had done consent forms and didn't see the point (worrying, yes). Her instagram is public and full of pics of her children

(including icky cutesy AI generated stuff) so obviously this isn't something that bothers her at all..

He did apologise for them taking so long and suggested that he thinks she's a bit useless at admin.

The commenters are probably right that I wasn't actually criminally liable but I'm glad the summer school did actually follow procedures.

Sometimes workplace conflicts are not caused by someone trying to do something wrong. They happen because one person sees a simple task while another person sees the responsibility attached to it.

In this situation, the OP was responsible for providing photos from a summer school program for use on a website. Before releasing images of children for marketing purposes, she asked for confirmation that parents had given permission.

The response should have been simple: provide the consent forms.

Instead, the conversation became a long cycle of reassurance without evidence. The summer school repeatedly insisted that parents were happy to have their children featured, that they shared photos online themselves, and that nobody had complained before.

But those statements did not answer the actual request.

The OP was not questioning whether parents liked seeing photos of their children. She was asking for documentation showing that the organization had permission to use those images in that specific way.

This distinction matters because personal opinions and formal consent are not the same thing. A parent posting a photo of their own child online does not automatically mean another organization has permission to use that child’s image for advertising.

Data protection and privacy rules exist partly because good intentions are not enough when handling personal information. In the UK, photographs of identifiable individuals can be considered personal data under the UK GDPR, and organizations generally need a lawful basis for processing that information. Consent, where used, needs to be properly obtained and documented.

The frustration for the OP likely came from being placed in a difficult position. The summer school wanted the photos quickly for marketing, but they were treating the paperwork as an unnecessary obstacle rather than part of the process.

Interestingly, the update shows that the situation was not impossible to solve. The consent forms existed. Someone at the summer school simply had not provided them earlier, and after the correct documentation was sent, the photos could be delivered.

This is a common lesson in professional settings: procedures are not always there because everyone involved has bad intentions. They exist because organizations need consistency, accountability, and protection when something goes wrong.

The summer school may have believed they were being harmless because the parents were comfortable with the photos. The OP was focused on making sure there was proof before moving forward.

Both sides were looking at different parts of the same situation, but only one side had the responsibility of saying, “show me the permission before I proceed.”

In the end, nobody went to jail. The photos were delivered. But the entire back-and-forth could have been avoided with one simple email attachment at the beginning.

These are the responses from Reddit users:

These Redditors supported requesting consent forms and keeping proper documentation

Ok-Coat-9274 − "Our marketing team really need the photos up ASAP so we can advertise for next year's summer school"

Then I'm sure returning the necessary consent forms will be your next priority.

Quiet-Excitement-310 − Stick to your guns. You know you are in the right. Keep every correspondence

These users agreed children’s photos should not be shared publicly without parental permission

oceanicArboretum − Not sure what the laws in the UK are aboit this, but if it's illegal, I hope you don't give in.

Lumpy-Ad-63 − I’m in US and a foster mom. It’s illegal for me to post photos of children in my care.

NovaLunar721 − Yea if the school uploaded pictures of my children to their marketing website without my consent there'd be a problem.

I wouldn't consent to it regardless.

These commenters criticized the organization’s handling of the situation and lack of accountability

ShingledPringle − I am always sympathetic when someone deals with morons like this, been there with them myself.

GreginSA − OP: “Send the consent forms . " Them: “we have consent.

This isn’t your job” OP: "can you send me a copy of the consent forms" Them: "That’s not your responsibility”

OP: "that's great, can I just get a copy of the form" Them: "not your reponsibility, just as it’s not your responsibility to check our fire alarm permits and such”

OP "Can you just send me a copy too as it's a legal requirement" Them: "your only legal requirement is to not post online.

We aren’t asking you to post online. We are going to do that" OP: "Ok, I can't let you upload the photos online”

Them: "Stay in your lane" OP: “Send consent forms" Them: "aaaaaaarrrrrrrrrggggggggghhhhh”

These Redditors discussed how photo consent policies vary and should be clearly established

chopper5150 − Is it possible that consent is given when they sign up for camp?

I know there are some events that when you buy a ticket, you're also consenting for them to use you in pics.

No_Shine_7224 − Oh, just this once, no one will know….. /s

MelissaCop − Photographing children is a choice for the parents. I’m not a teacher but I volunteer for a fun day through my company at a school

for children that have cerebral palsy and they generally wear name tags with a color. The color represents if their parents gave consent.

Do you think organizations should always require written permission before posting children’s photos online, or are there situations where verbal approval is enough? Share your thoughts below.
