Hotel Guest Demands A Refund After Getting The Only Room Available, But Staff Says Enough

Working in hospitality means learning how to handle almost every type of guest interaction. Most problems can be solved with patience and communication, but some situations become difficult because one person refuses to accept any solution except the one they want.

OP experienced one of those moments during an extremely busy weekend at a hotel. With a major event filling the area, rooms were limited and the front desk team was already handling a constant stream of guests.

When one traveler’s reservation situation became complicated, OP tried to help by finding the best option available under difficult circumstances. However, the guest was unhappy with the outcome and continued pushing for something the hotel simply could not provide.

As the conversation continued, OP found herself dealing with increasing frustration while trying to remain professional. Eventually, the situation reached a point where OP had to make a decision that changed the entire stay. Read on to see what happened.

This is my first ever Reddit post so bear with me!

Every year there’s this youth science convention near the town I work in and it pretty much books us up for an entire weekend.

We had a lot of parents with their kids checking in and by the time I clocked in (3-11) we had three rooms left (All regular king rooms)

Exactly at 3pm I got a call from someone wanting to confirm their reservation for the night for a several night stay and when I look it up, it says...

It was cancelled by the third party he booked with and there was no reason behind.

He was reasonably upset and I said unfortunately we only have standard kings left for the days he wanted to book for.

He said he would take it and we booked it for the two nights.

I told him to call the third party and maybe try to get an explanation as to why it was cancelled.

He doesn’t check in until the night audit shift so I didn’t get to experience how that went

but apparently he showed up and was pissed his room only had one bed for his family of 4.

NA said that is what we had left and that’s what he agreed to. He asked for a rollaway

and even though it’s against fire code, she obliged since it was late and i’m pretty sure night audit didn’t want to deal with him any longer.

Come the next day, he comes to the front desk around 6pm.

I’m already stressed from that night being very hectic and my coworker being 2 hours late so I had to LOCK IN to deal with this guy.

He was already mad within the first sentence saying he wants to be moved to a better room

and that we are a terrible hotel for not accommodating him the first night (huh??)

I explained that we are fully booked for the next two nights and there isn’t anywhere I could place him

and apologized profusely for the hand he was dealt by third party. He didn’t want any of these answers and wanted a full refund for his two nights.

I explained again that unfortunately it’s not our fault his THIRD PARTY reservation was cancelled and he agreed to book the only room type we had left.

There was also no way for us to contact him about said cancellation ahead of time

since third parties don’t attach any of the guests info when they come through in our system.

He continued to go on this merry-go-round of how we are a terrible hotel and that he’s not leaving the desk until he gets a bigger room AND a full...

I said i’d talk to my manager to at least get him a discount for the inconvenience.

Manager said due to his behavior, she will only take $50 off the two nights but that is all she will budge for

and told me if his behavior continues, ask him to vacate. Oh he was livid with only $50 saying he will be expecting a full refund.

He temporarily walks away from the desk and I take that time to cry a little in the back from all the stress.

He comes back up to yell at me once again saying he wants a refund while i’m in the middle of checking in another guest.

He impatiently waits for me to finish before going back at it and just wouldn’t listen to what all I could do for him.

At this point i’m fairly upset and this obviously wasn’t going to stop.

So I said, “You know what sir, we are obviously not coming to an agreement and we are not able to meet your expectations

so I think our hotel just isn’t the right fit for you.

I will now ask you to pack your things and vacate the room as I will be cancelling your second night.” Ooooh he didn’t like that.

At that point I started to just tune him out and just mentioned again that his second night is now cancelled

and he has to leave or else I will call the police to escort him out. He just said a big ol f__k you and stormed off.

About 30 minutes later I, from behind the wall, watch him leave the building.

I felt bad for the rest of his family but that behavior is not accepted and is grounds for getting kicked out so hopefully he got an earful from his...

He left the room an absolute mess that I had to reset to sell :(.

Moral of the story, don’t be an a__hole to the people who have control over your reservation.

Sometimes the people who work in customer service are placed in impossible situations where they are expected to fix problems they did not create. A canceled reservation, a sold-out hotel, and limited room options are already stressful circumstances.

But when frustration turns into aggression toward the person trying to help, the situation becomes much bigger than the original problem.

In this story, the OP was not refusing to help the guest. In fact, she tried multiple times to find solutions. She explained that the cancellation came from a third-party booking platform, offered the only available room type, contacted management for compensation, and even secured a discount despite the guest’s behavior.

The conflict grew because the guest seemed to believe that repeating his demands would eventually change reality.

The emotional dynamic here is familiar in many service interactions. When people feel powerless, they sometimes search for someone they can hold responsible.

The front desk employee becomes the visible representative of the entire company, even when they have no control over outside booking systems, availability, or previous decisions. The guest’s disappointment may have been understandable, but directing that anger at an employee who was actively helping only created another problem.

A different perspective is that the guest may have arrived already feeling betrayed by the cancellation and worried about his family’s comfort.

A parent traveling with children might naturally feel stressed when a room does not match expectations. However, stress does not remove personal responsibility. There is a difference between firmly advocating for yourself and repeatedly attacking someone who has limited options.

Psychologist Dr. Guy Winch, who specializes in emotional health and coping with difficult interactions, has discussed how people often struggle to regulate emotions when they feel frustrated or rejected.

He explains that emotional reactions can become stronger when people interpret a situation as a personal threat rather than a temporary problem. His work emphasizes the importance of recognizing emotional triggers before responding impulsively.

This insight connects strongly to the situation. The guest may have started with a legitimate complaint, but his reaction transformed a solvable inconvenience into a confrontation. Instead of focusing on what could realistically be done, he focused on forcing an outcome that was impossible.

The OP’s decision to cancel the second night was not about having “power” over a guest. It was about establishing a boundary after repeated disrespect. Hospitality workers are there to provide service, not to absorb unlimited hostility.

The bigger lesson is that kindness and professionalism should not be confused with accepting mistreatment. Good employees will often go out of their way to help, but cooperation requires respect from both sides.

A difficult situation can usually be solved when people work together. It becomes impossible when one person decides the only acceptable answer is getting everything they demanded.

I am suprised you did apologise i have no sympathy for people that go with third party, especially if it´s some s__tty one. And apologise for them? Hell nah.

I would just be like " This is why it´s generally better to book directly - because if there is some issue or anything, there is little we can do...

Tbh, why did he demand a refund? He got room that he ordered. He doesn´t like it? Unlucky.

Guess who doesn’t do that anymore? I once booked a day room through a third party that has day stay in its title.

It was before we flew home from a cruise to California from our cruise port in Miami.

When we got to the hotel from the port, the front desk clerk could not find our reservation. Party of four, 6 hours until we leave for the airport.

It is 10 am. I showed her my confirmation on my phone but she couldn’t find it in her system.

Here’s my point: the more frustrated I felt the softer and nicer I responded.

The clerk was finally able to sort it out. The third party confirmed my reservation, took my money , but didn’t connect with the hotel

Until we were at sea. The Hotel was full. I asked for any ideas? She says the hotel next door may have a room ready even thought it is 10...

Next door hotel is a (redacted name) property and I am a Bonvoy member.

We got our room at the (redacted name) property for the six hours. Front end manager was as nice as pie and so were we! !

If she was one of those, she would have been right beside him at the desk and/or the one doing the yelling at you instead.

This is a person who is used to having his way because he's loud and intimidating.

No one has ever stood up to him before, least of all his wife, and it's taught him that he can get his way

if he gets loud enough and when he doesn't, it's not due to his behavior, it's because the other person is an a__hole/b__ch.

This man has never been punched in the face and it would do the rest of the world a lot of good if someone ever does it.

It seems to me that would he probable cause for third party canceling his reservation.

He may have been blacklisted by them and tried to take it all out on you. Regardless, Major D__k.
