Medical Receptionist Gets Written Up For “Unprofessional” Curly Hair, Then Doctor Says He Never Complained

Workplace appearance standards can be reasonable when they are clearly communicated and applied consistently. Things become much more complicated when an employee is disciplined over a rule that may not even exist.

A medical receptionist says her office manager told her that the practice owner disliked her long, naturally wavy hair and wanted her to wear it up. She was later formally written up for having “unprofessional” hair, despite there being no hair requirements in the employee handbook and other coworkers being allowed to wear long hair down.

The receptionist has complied for months, even though keeping her heavy hair tied up gives her headaches, while her manager continues pushing her to cut it.

Then a coworker spoke directly to the doctor and discovered something surprising: he allegedly had never complained about her hair and said she could wear it however she wanted. Now the OP is left wondering whether her manager invented the rule and how she should address the situation without creating more workplace tension.

'My office manager hates my hair'

I started working as a medical receptionist at a small practice this year.

About a month in, my office manager pulled me aside and told me the Doctor (the practice owner) complained about my hair that morning and asked me to put it...

I have long hair to my waist and it’s pretty wavy/curly. She also wrote down the name of her hair dresser and strongly suggested I get a haircut.

I put my hair up that day, but I didn’t get it cut.

I guess I didn’t realize the office manager meant I need to wear it up everyday, so I didn’t at first. I get headaches if I wear my hair up...

A week later, I was formally written up and I was told the Doctor finds my hair “unprofessional” and that I don’t look “put together”.

When I asked for clarification (is it the length? The waves?) I was simply told “you have to follow what the doctor says, it’s his practice”.

There are plenty of other girls in the office that have long, straight hair that wear it down so I knew I was being picked on for having waves/curls.

I’ve been wearing my hair up for months now, and my office manager constantly asks me to cut my hair. She’s also heavily implied it looks bad.

There is nothing in the employee handbook that mentions hair.

Just recently one of my coworkers (who is related to the Doctor, so she speaks very freely with him)

heard about my write up and told doc she thinks he’s being very unfair.

He apparently looked at her like she was crazy and said “what are you talking about?

I have never said anything about her hair, she can wear it however she wants”

So basically my office manager wrote me up and put words in the Doctor’s mouth to do so.

My lead has been telling my coworkers that she thinks I have “horrific” hair that needs to be pulled back.

I honestly have no idea what to do, I’ve still been wearing my hair up because I don’t want to start drama with the office manager or my lead.

My friend thinks I should just talk to the doctor, but I really don’t want to bother him with this. But his office manager IS lying and making up rules...

It’s not like there’s an HR department I can talk to. I don’t know, I really like (most) of my coworkers and I like the job but I’m feeling kind...

Any advice on what to do/who to talk to?

Few workplace conflicts are more unsettling than discovering that the person enforcing a rule may not actually have the authority they claim to have.

Employees can tolerate reasonable standards, even inconvenient ones, when expectations are clear and consistently applied. What becomes destabilizing is believing that a supervisor’s personal preference has quietly been turned into a professional requirement.

That appears to be the central problem here. The receptionist was initially told that the doctor disliked her hair and wanted it put up. She was then written up, repeatedly encouraged to cut it, and told that her appearance looked “unprofessional,” despite no hair requirement appearing in the handbook.

The situation became far more serious when a coworker reportedly asked the doctor directly and he said he had never complained about her hair and had no objection to how she wore it. At that point, the issue stopped being primarily about hairstyle and became a question of managerial credibility and workplace targeting.

There is another possibility worth considering before assuming deliberate deception. The office manager may have genuinely interpreted the doctor’s preferences incorrectly, exaggerated an informal comment, or simply developed her own standard and attributed it to the owner because that made it easier to enforce.

None of those explanations makes the situation acceptable, but they lead to a different solution than immediately treating the conflict as personal sabotage.

Organizational psychologist Adam Grant has written about how unclear authority and poor organizational communication can create unnecessary workplace conflict. When expectations are ambiguous, employees often receive inconsistent signals from different levels of an organization, making it difficult to know whose instructions actually represent policy.

Research on procedural justice also shows that employees are more likely to accept workplace decisions when rules are transparent, consistently applied, and explained fairly.

That is why speaking directly with the doctor may be the most practical next step. It does not have to sound like an accusation. The receptionist could calmly explain that she was formally written up because she was told he considered her hair unprofessional, then mention that she recently learned he does not recall giving that instruction.

She can ask one simple question: Is there an actual dress or hair standard she is expected to follow?

If he says no, she should politely ask for the written reprimand to be corrected or removed from her personnel record, especially since it was reportedly based on something he did not say. She should also keep copies of the handbook, write-up, and relevant communications.

The headache issue matters too. A workplace appearance preference should not casually become a medical or physical burden when alternatives are available. More importantly, nobody should have to spend months following an unwritten rule because they are afraid of what a supervisor might do next.

The goal should not be to “win” against the office manager. It is to establish who actually sets the policy, what that policy is, and whether it applies consistently. Once those questions are answered, the employee can decide whether this is an uncomfortable misunderstanding or a workplace environment that has become too hostile to remain in.

If it is or if your hair is getting all over the place, then pull it into a ponytail or braid it.

leadbelly1939 − I would have a candid conversation with the doctor, and ask him directly if he has an issue with your hair or if you look not put together.

He will want to know if one of his employees is engaging in harassing or discriminatory behavior because that is a liability for his practice. Getting sued is expensive.

Focus on documentation. Keep copies of the write-up and record each comment or reprimand, then ask management to identify the actual policy in writing

Narrow-Ad-7997 − Your manager is way out of line. Unless there’s a legitimate safety or hygiene policy you haven’t mentioned, your hair is none of her business.

Document every comment and write-up, then request a private meeting with the doctor/owner to clarify the actual policy. Keep it factual and professional.

Similar approach, but more direct: show the doctor the write-up and explain that the office manager is presenting these requirements as though they came from him.

NoAlternative9113 − Talk to the doctor. Show him the write up. Let him know office manager is making up rules and blaming him for them.

Don't wear your hair up anymore. As long as it's not interfering with your job, or is an actual legal requirement, don't do it.

If they did not like your hair when they interviewed you, they should have brought it up at that time.

Now everywhere I go I see people with hair of many different colors.

I am not offended by it. Perhaps you should look for another job. The OM does not like you for whatever reason.

Provided a practical compromise: use a large banana clip or another low-tension hairstyle if keeping the hair away from the face is useful, especially if regular ponytails or braids cause headaches

get a large banana clip and use it to hold your hair back from your face.

When you get the really long ones it turns into a pretty nice looking "up-do" without adding a while bunch of tension on your scalp.

Doesn't help the harassment here, but will help you find a cute hairdo to keep it back without headaches or having to do the arm work out it's gonna take...

Offered a sarcastic approach, send the doctor a formal apology saying the employee’s hair apparently fails the office’s professionalism standards, while copying the manager

22Hoofhearted − The passive aggressive way to handle this is to send a formal apology to the Dr in question in an email and CC the office manager.

"Hi Dr. XYZ, I would like to extend my heartfelt apology my hair length not being up to par with the professionalism this office requires.

Office manager XYZ brought this to my attention and issued a formal write up, I will fix this troubling issue immediately. " -Very Respectfully, Your Name

Took the strongest position, arguing that the manager may have overstepped by claiming to speak for the doctor

Show him the copy of the write up and say, she said it was you that hated my hair and wrote me up.

If you can record her saying it that would be great in case you have to prove it.
